After Event- Feedback

After an event concludes, it's important to maintain engagement with attendees—whether it's through a feedback survey, a thank-you message, or sharing additional resources. The auto reminder feature allows you to automate this communication with ease.

Start by designing the email template that contains your message.

This could be a thank-you note, a feedback survey link, or instructions for next steps. In the Email Templates section, click + NEW, give your template a name, choose the appropriate Email Category, and write your message. You can include HTML formatting, links, and placeholders to personalize the content. Once you're satisfied, save and publish the template.

When sending follow-up emails based on feedback submissions, the following content tags are available for use within templates:

[Comment][FullName][ActivityName][ActivitySourceName][ActivityTags][ActivityDate][Username][ActivityStatus][Date] (as current date),[MemberSince],[Username],[Firstname],[MiddleName],[Lastname],[FullName],[DateOfBirth],[Email],[EmailToken],[EmailAddressConfirmed],[EmailAddressConfirmedDate],[MobileNumber],[MobileToken],[MobileConfirmed],[MobileConfirmedDate],[Password],[CreatedDate],[CreatedBy],[LastModifiedDate],[LastModifiedBy],[LastLoginDate],[ItemGuid],[isLocked],[LockedReason],[isAdministrator],[isDeleted],[AuthToken],[StripeCustomerID],[Title],[Captcha],[Attempts],[CountryOfBirth],[Notes],[Status],[LastDevice],[Occupation],[Gender],[OperatingSystem],[Browser],[BrowserVersion],[OldRef],[WorkPhone],[HomePhone],[PreferredPhone],[UserImageURL],[Indigenous],[UnsubscribedBulkEmails],[ExcludeFromDirectory],[Company],[CompanyUrl],[FirebaseRegistrationToken],[Tags],[CustomField1],[CustomField2],[CustomField3],[CustomField4],[CustomField5],[CustomField6],[CustomField7],[CustomField8],[isHidden],[WebCampaign],[CurrentRoles],[CurrentRolesHTML],[CurrentPrograms],[CurrentSubscriptions],[CurrentSubscriptionTermPriceName],[FullAddress],[AddressLine1],[AddressLine2],[AddressLine3],[Suburb],[State],[Country],[Postcode],[AddressID],[AmountOwing],[CustomField9],[CustomField10],[CustomField11],[CustomField12],[CustomField13],[CustomField14],[CustomField15],[CustomField16],[CustomField17],[CustomField18],[LastSupplierName],[LastSupplierID],[SubscriptionDefaultPaymentGateway],[CountryID],[UserCountry],[Timezone],[Tier],[UnsubscribedEmailCategories],[LastEmailErrorCount],[LastSupplierGUID],[PreferredName],[eWayCustomerID],[PaidUpUntil],[isParentSubscriptionPaid], [PaID], [WebsiteURL] (which is the full url of the current website e.g. https://yourwebsite.com) and [CustomText] or [PersonalFooter] (if not used these are just blank, they will let the email sender adjust the template with some final last words and their own personalised footer) .

Next, go to the Auto Reminders section. Click NEW to create a new reminder.

Assign it a name (e.g., Event Feedback Reminder), select the relevant Event Category, and set the timing—such as 1 day after the event.

Then, link the reminder to the email template you just created.

Please find the below mentioned HTML Sample for the feedback Page.

<a href="[WebsiteURL]/feedback?EventID=[EventID]&amp;ReturnUrl=/usersettings?displayedTable=MyActivities" target="_blank">[WebsiteURL]/feedback</a></p>

Attendees will automatically receive this email once we confirm the attendees, they can fill the feedback or any survey or questionary forms.

The feedback page is a dedicated webpage that hosts your event feedback form. It's designed to collect responses from attendees after an event, allowing them to share comments, rate their experience, and provide valuable insights.

When you include a link to feedback in your email (especially using the [EventID] tag), the form automatically knows which event the feedback is for—making the process seamless for users and accurate for reporting.

After Event- Certificate

Organizing a successful event doesn’t end when the last attendee leaves — it continues through thoughtful follow-up, accurate record-keeping, and professional recognition. This guide walks you through the complete post-event process for managing certificates, using the Sales Event as a working example.

Whether you're creating certificates from scratch or confirming attendance in bulk, each step ensures that participants receive proper acknowledgment for their involvement. From setup to delivery, this workflow is designed to be efficient, scalable, and easy for administrators to follow.

Create and Customize the Certificate:

Start by navigating to the Certificates section in your dashboard. You can either create a new certificate or duplicate an existing one to save time.

In the certificate editor:

  • Set the name
  • Select an icon
  • Use the HTML editor to customize the layout and insert dynamic tags such as [Fullname], [ActivityName], and [ActivityDate]

Before saving, use the Test feature to preview how the certificate will appear to users. This ensures everything looks polished and the tags render correctly.

Once your certificate is created, you can manage it from the Certificates Dashboard. Here, you’ll find options to edit and copy certificates.

Other certificate tags relevant for activities completed via an Event attended:

[Comment], [FullName], [ActivityName], [ActivitySourceName], [ActivityTags] ,[ActivityDate], [Username], [ActivityStatus]

Now it’s time to link your certificate to an activity.

Head to the Admin Settings > Activity Admin, where you can add or edit an activity, Select or create an activity and fill out the activity details. Select the certificate, Check Issue Certificate box and you can add an image in needed.

After the event concludes, go to the Event Attendees section. Select the relevant event (Sales Event) and use filters to view attendees who are marked as “Attending.” You can select individual users or Select All.

Click on Bulk Actions and choose Confirm Attended from the dropdown menu. Enter the Start Date of the event and click Run Bulk Load to update their status. This changes their profile from “Attending” to “Attended,” which is required before certificates can be issued.

In the Event Attendees section, you have the option to send emails directly to selected participants without setting up a separate auto reminder. Here's how it works:

  1. Select the Attendee(s) From the attendee list, choose one or multiple participants you want to email.
  2. Click “Email”   This opens the email interface where you can compose or select a pre-existing template.
  3. Choose the Template   Pick from your published email templates—like Event Attended or Feedback Request. These templates already include dynamic tags such as [EventDetailsAttended], [CompanyName], or [WebButtonURL].
  4. Preview the Tags in Action   Once the template is selected, you’ll see how the tags populate with real data. This is a great way to confirm that your placeholders are working correctly before sending.

This method is especially useful for sending personalized follow-ups immediately after an event, without waiting for scheduled reminders.

Once attendance is confirmed, we can go to participant’s User Summary.

Under the Activities tab, locate the relevant activity. It will auto approve the activities.

If in case activity status is pending, click Approve to validate their participation.

After approval, a Download Certificate button will appear next to the certificate name. Click this button to retrieve the personalized certificate.
